Open source documentOverview
Staff in hospitals and clinics regularly need answers about policies, procedures and forms. Finding them often means searching shared drives or asking a colleague. Indite sets up an AI assistant that answers from your own documents in the messaging tools your staff already uses, and creates tasks for the right team when action is needed.
You decide which documents the assistant can use, such as SOPs, HR policies, IT guides and department handbooks. Answers can link to the document they came from, and when a request needs someone to act, the assistant creates a task and asks for approval before anything changes.
What staff can ask
- What’s the process for reporting a needle-stick injury?
- Which form do I use for a leave request?
- What are the visiting hours for the ICU?
- How do I reset my email password?
- The infusion pump in ward 3 is faulty. Who should fix it?
- Where is the latest hand-hygiene SOP?
Challenges
Policies are hard to find
SOPs, policies and guides are spread across shared drives, intranets and email.
Senior staff get interrupted
Routine questions often go to managers and senior colleagues, pulling them away from their work.
Documents change
Staff may follow an older version of a policy without knowing it has been updated.
Requests get lost in chat
Requests made in group chats or direct messages are easy to miss.
New staff don’t know where to look
New starters spend their first weeks asking where documents are and who handles what.
Answers depend on who you ask
Different colleagues can give different answers to the same question, especially across shifts.
Solution
Answer from your documents
The assistant answers using the policies, SOPs and guides you provide, and can link the document it used.
Work in the tools staff use
Staff ask questions on Microsoft Teams, Slack or WhatsApp, without logging in to another system.
Use the current version
When you update a document, the assistant answers from the updated version.
Create tasks for the right team
When a request needs action, the assistant creates a task for the right team and asks for approval before any change is made.
Point to a person when unsure
The assistant can be set up to say when your documents don’t cover a question and suggest who to contact, instead of guessing.
Connects with: Microsoft Teams, Slack, WhatsApp, SharePoint and your document storage.

Day and night shifts get answers from the same, current documents.
Faster settling-in for new staff
